Your team
Invite the people who work with you to your dashboard. Each one signs in with their own email and password, on the website and in Yallapp Business, and sees only what their role allows. Open Team under Account in the sidebar. Only you, the owner, see this page.
Roles
- Owner: you. Everything, with License & plugin (called Plan for apps without a WordPress site), payments and the team.
- Manager: everything except License & plugin, payments, the team, and changing an app's type or where its content comes from. Managers also can't add or delete apps, buy storage packs, or change the payment keys your shop or charity is paid through.
- Staff: only what you tick. Never the app's settings: App setup, Pages & look, Languages, Screen protection, App sign-in, Builds & downloads, Publishing and the other settings pages stay closed to them.
Everyone on the team sees the Overview, Preview your app, Updates from Yallapp, Your phones and Your account. The sidebar shows only the pages each person may open. If they open another page's address, they're sent to the overview with "Your role here doesn't include that page."
What Staff can work on
When you choose Staff, tick at least one area under What Staff can work on:
- Orders & kitchen: orders, their refunds and the kitchen.
- Bookings & appointments: services, appointments, the timetable, memberships and members.
- Events & check-in: events and checking tickets at the door.
- Donations: campaigns and donations.
- Catalog & content: products, courses, articles, listings and course reviews.
- Media: your Media library.
- Messages: enquiries about listings and students' questions in courses.
- Chat: the Chat page: reading and answering conversations, reports, deleting messages and stopping someone from sending. Turning chat on or off and course groups are under Chat settings, which only you and managers can change. See Chat in your app.
- App users: the people who sign in to your app.
- Analytics: the Analytics page.
- Notifications to app users: sending notifications to the people using your app.
An area only matters when the app has it: a store has no appointments, for example. Yallapp Business shows each person the same areas, and sends them the alerts of their areas: a new order to those with Orders & kitchen, a new chat message to those with Chat, and so on. Finished builds and notices about the app go to you and your managers, and payments to Yallapp to you only.
Which apps
If your account has several apps, choose under Apps: All apps, or Only these apps and tick them. Someone limited to some apps doesn't see the others anywhere: not in the app menu, the bell or Yallapp Business. All apps includes the apps you add later. You always have all of them. With one app, this choice doesn't show.
Inviting someone
Under Invite someone, enter their Name and Email, choose a Role (for Staff, what they work on), choose the apps, and select Send invitation. We email them a link to join. It works once, for 7 days. The email is in their dashboard language if they already use Yallapp, and in yours otherwise.
Invitations nobody has used yet are under Invitations waiting, with the date the link stops working. Send again emails a new link for another 7 days, and the old link stops working. Cancel stops the link at once.
You can't invite your own email, someone who is on the team already, or an address that has an invitation waiting: send that one again instead. You can send up to 20 invitations an hour. You can also manage your team from Yallapp Business.
Joining the team
The link opens a page to join your business. Someone new to Yallapp enters their name and chooses a password. Someone who already uses Yallapp enters their own password; if their account has no password yet, they set one with Forgot your password? first. Then they select Join the team. If they use two-step sign-in, they also enter a code from their phone (see Two-step sign-in).
Changing access and removing someone
Under People on the team, each person shows with their role, what they work on, their apps, when they joined and when they last signed in.
- Change access changes their role, areas and apps. Select Save: it applies at once.
- Remove, then Yes, remove, takes them off the team. They're signed out at once, on the website and on every phone. Their sign-in itself isn't deleted: if they also work on another business, they sign in again to open it.
Activity
Activity shows who did what, newest first: order steps, refunds, appointments, notifications sent to your app's users, and changes to the team. To see one person's, choose them under Who and select Show.
Several businesses
Someone can be on more than one business's team, or run their own business as well. They switch between them with the Business menu in the dashboard, or in Yallapp Business. Each business keeps its own role and apps for them.
